Common questions about how Future Media Stack works, what it connects to, and how the system is implemented for real-estate agencies.

 

Do we need to replace our existing CRM?

No. The system is designed to work alongside the tools your agency already uses. HubSpot is shown in the demonstration, but the workflow can be adapted to other supported CRM platforms.

 

Which lead sources can be connected?

The system can be adapted to website forms, email enquiries, property-portal notifications, advertising lead forms and other supported sources. The final setup depends on how your agency currently receives leads.

 

Does the AI replace real-estate agents?

No. The AI helps organize lead information, summarize enquiries, highlight priorities and suggest next actions. Human agents remain responsible for relationships, judgment, negotiations and final decisions.

 

Can managers and agents have different access?

Yes. Separate manager and agent workspaces can be configured so each user sees the appropriate leads, information and tools.

 

How long does implementation take?

The timeline depends on the number of lead sources, integrations and custom requirements. The system is configured and tested in stages before it is introduced to the agency’s team.

 

Can the workflow be customized?

Yes. Lead fields, priorities, email messages, appointment rules, CRM stages, dashboards and AI instructions can be adapted to the agency’s process.

 

What happens after the system is launched?

Ongoing monitoring, maintenance and workflow improvements can be provided according to the selected support plan.

 

How much does it cost?

Pricing depends on the agency’s lead sources, integrations, number of users and required customization. After a short consultation, Future Media Stack provides a proposal based on the agency’s actual workflow.

 

How do I pay for Future Media Stack services?

US clients can pay by USD bank transfer using ACH, a standard domestic US bank-payment method. The payment instructions will be included on the invoice and will contain the beneficiary name, routing number, account number, amount due, invoice reference, and payment deadline.

For European clients, payment can be made by SEPA bank transfer in EUR. Other payment arrangements can be discussed when necessary.

 

Can our accounting department request vendor documentation?

Yes. Future Media Stack can provide the standard information required for vendor onboarding, including:
Legal name and business/trading name
Address and contact information
Invoice and service description
Bank-transfer details
Proof of receiving-account details, when reasonably required
A completed IRS Form W-8BEN, when applicable

 

Can you provide a W-8BEN?

Yes. Because the service provider is a non-US individual, a completed Form W-8BEN can be supplied to a US client or its accounting department upon request.
The W-8BEN confirms the provider’s foreign status and beneficial-owner information. It is provided directly to the client or payer requesting it and is not normally sent directly to the IRS by the service provider. The IRS instructs foreign individuals to give the form to the withholding agent or payer when requested.

 

How will the W-8BEN be delivered?

The completed and signed form will be sent securely to the authorized accounting or vendor-onboarding contact. It will not be published on the website or sent through an unsecured public channel.


Does the W-8BEN contain banking details?

No. The W-8BEN and the payment instructions are separate documents. Bank account and routing details are provided on the invoice or secure payment instructions, not entered on the W-8BEN.
